The accepted rules separate a short confirmation of the right contact from later invitation and profile editing.

The first contact is only to establish whether the message reached the correct operational person. A portal invitation, profile editing and photo acceptance are separate later processes. An operational reply alone does not prove authority to represent the clinic.

A future wave may consider only a public generic clinic address from an official website, official domain or another auditable source. The operator records the source, observation date, attempt result and any referral. Private individual addresses are not the target of this path.

The first message is short and in Ukrainian. It explains what DentUkraine is, asks for confirmation of the correct contact and allows a reply or referral. It contains no clinic-specific link, profile-editing link or active invitation.

Only after the correct contact is confirmed may a separate follow-up be prepared with a secure link to clinic data, editing and photo review. Marketing, investment, conversion and future-workflow details are not promises made by the first message and require approved copy.

An opt-out, wrong-contact notice, bounce or manual hold stops further contact with the address. There is no automatic retry loop. Contact history remains in the operational audit and is not a public clinic-profile label.

No campaign or campaign clock exists before confirmed provider success for an invitation. For a later invitation, the accepted direction allows at most one follow-up on day 10, closure by day 21 and a terminal no-response state, but those actions require separate operational preparation.

This document does not enable delivery. SMTP and Resend are not configured, the recipient allowlist is empty, and every delivery path is fail-closed. The prepared mail placeholder only records the absence of configuration and never connects to a provider.
